Accessibility Checklist for PowerPoints Not Shared

Overview

This checklist is for PowerPoints that you present in a Live or Recorded meeting that will not be shared with the attendees. These PowerPoints do not need to be fully accessible because attendees will not be fully interacting with the PowerPoints.

NOTE: If the PowerPoints might be shared in the future, even with other faculty\staff, they must be fully accessible and follow the full list at Creating an Accessible Microsoft PowerPoint Presentation site.

Essential (High Priority)

  • Use large, readable text and avoid crowded slides.
  • Ensure sufficient color contrast between text and background.
  • Do not rely on color alone to convey information.
  • Verbally describe important visual information such as charts, graphs, and images.
  • Enable live captions or transcription when available.
  • Use a consistent slide design.

Recommended

  • Give every slide a unique, meaningful title.
  • Use PowerPoint built-in slide layouts.
  • Ensure a logical reading order if assistive technology may be used.

Are Headings/Titles Required?

For live presentations where attendees do not receive the slide deck, slide titles are recommended but generally less important than readable text, contrast, captions, and verbal descriptions. Slide titles primarily help navigation for screen-reader users and people reviewing presentations independently.
