Guidance on large meetings and events

Washington State University is continuing to follow guidance from the Centers for Disease Control and Prevention (CDC) regarding large gatherings. The CDC is not advising the blanket cancellation of community events at this time. Rather, the CDC is providing recommendations to organizers on how to get events ready for Coronavirus Disease 2019 (COVID-19).

Examples of the CDC guidance include:

  • providing COVID-19 prevention supplies such as hand sanitizer, tissues, and cleaners and disinfectants to event staff and participants;
  • considering alternatives for event staff and participants who are at high risk of complications from COVID-19; and
  • having a plan in case you need to postpone or cancel your event.

All event organizers are asked to familiarize themselves with the CDC guidance and implement appropriate COVID-19 prevention actions. In addition, event organizers should connect with their county public health department to determine if local guidance has been issued regarding public events. Because this is a rapidly changing situation, CDC guidance, as well as recommendations or directives from other federal, state, or local health officials, may change at any time.

Event organizers should also contact attendees in advance of the gathering and ask them to consider their own circumstances before attending the event. Sample language for event organizers is available below.

Here is sample language event organizers should use to contact attendees in advance of public meetings or events informing them of WSU’s guidance on large gatherings.

“Washington State University is actively monitoring the incidence of Coronavirus Disease 2019 (COVID-19) in our region. We have been asked how COVID-19 may impact upcoming events including [INSERT NAME OF EVENT]. WSU is following guidance from local health departments and the Centers for Disease Control and Prevention (CDC) regarding large gatherings, including CDC recommendations on preventing the spread of COVID-19.

At this time, our upcoming [INSERT NAME OF EVENT] will take place as planned. However, if you are sick or feeling you are getting sick, we ask that you please stay home.

Currently, older adults and persons with underlying health conditions are considered to be at increased risk of severe illness and complications from COVID-19. Examples of underlying health conditions include heart disease, lung disease, diabetes, people with weakened immune systems, and people who are pregnant. The CDC recommends that people in high-risk groups consult with their healthcare provider about attending any large gathering.”
