Washington State University Digital Accessibility recommends applying accessibility principles during creation rather than remediating presentations later.

Before sharing, exporting, or presenting your PowerPoint presentation, verify and do the following:

Set the Document Title

Make sure to set a default document title. NOTE: you must use the desktop version of PowerPoint for these instructions.

Select File from the Menu at the top of the PowerPoint.

Next, select Info, and under Properties select the Title field.

Write the title that fully describes the document.

Use Unique Slide Titles

Screen reader users often navigate presentations by reviewing slide titles.

Unique titles help users understand their location within the presentation and move efficiently between slides.

Use PowerPoint’s built-in Title placeholder. Give each slide a unique title. If a visible title does not fit the design, keep the title and move it off-screen rather than deleting it.

Examples

Good: Course Learning Objectives; Midterm Exam Schedule.

Avoid: Slide 1; Untitled Slide.

Use Built-In Slide Templates

NOTE: Check with your department or college to see if they have a standard PowerPoint template. These are likely already accessible and give a standard look and feel to all of your attendees.

Built-in layouts provide structure that assistive technologies can interpret correctly and help preserve reading order.

Go to “Home > Slide Layout” on the Office Ribbon and use built-in placeholders. Avoid creating entire slides from floating text boxes.

Verify Reading Order

Review the Reading Order or Selection Pane and ensure title, content, images, and descriptions are announced logically.

Creating Hyperlinks

Hyperlinks need to have a clearly defined label of the destination of the link so that a screen reader can read them out loud when scanning the document.

Links that open in a new window should say so.

To do this,

First, we need to check that it is hyperlinked with an https at the beginning of the link. For security, do not link to sites using “http”.

Then, select Insert Hyperlink from the Ribbon.

In the “Insert Hyperlink” dialogue box that opens,

Select the hyperlink to add, but do not press enter or hit OK.

Move to “text to display” field at the top of the dialog box and enter a more descriptive title.

Press Enter or OK.

Examples:

Good: “Download the Course Syllabus; View Accessibility Resources.”

Avoid: ” Click Here; Read More.”

Create Lists Using PowerPoint List Tools

Assistive technologies recognize properly coded lists.

Do not manually enter list characters, or use images, or emojis for lists.

Use the Bullets or Numbers button from the Home Menu on the Ribbon.

Specify the Presentation Language

Screen readers use the language setting to determine pronunciation.

From the Review Menu, select Language, then Set Proofing Language and verify the correct language.

Add Appropriate Alternative Text

This allows the screen reader to scan a description of charts, tables, figures, or images that may be on the document.

Complex graphics often require information beyond short alternative text.

Right-click image and image and select “View Alt Text” and provide a concise meaningful description. Mark decorative images, images that do not convey information, as decorative.

Examples

Bar chart showing enrollment increasing from 500 students in 2023 to 850 students in 2026.

Avoid Using Color Alone to Convey Information

Do not use only color to convey information because people who are blind, colorblind, or who have low vision can miss the information conveyed with the color used.

Use text labels, symbols, patterns, or icons in addition to color.

Make sure that color contrast is enough between foreground and background colors.

Low contrast can make content difficult to read.

Avoid text over busy images and patterned backgrounds.

Use the Colour Contrast Analyser to check if you are not sure about your documents’ color contrast. Recommended Minimums

Normal text: 4.5:1.

Large text: 3:1.

Make Charts, Graphs, and Diagrams Understandable

Complex graphics often require information beyond short alternative text.

Provide descriptive titles, label data clearly, and summarize key findings in slide text or speaker notes.

Verbally describe what they are when giving the presentation. Do not refer to a chart, graph, or diagram without describing it.

Use Animations Sparingly or not at all

Content that flashes more than 3 times a second can cause seizures.

Complex animations may create confusion and distraction especially for folks with ADHD or other cognitive issues. Some folks actually get sick from seeing them.

Keep animations simple and ensure content remains understandable without motion.

Provide Captions for Video Content

Captions provide access to audio information.

Include synchronized captions and review auto-generated captions for accuracy.

Create Accessible Tables

Screen readers use table headers to identify relationships among cells.

Use a header row, keep tables simple, avoid merged cells and nested tables.

Do not use tables to set up a slides layout.

Run the PowerPoint Accessibility Checker

The Accessibility Checker identifies many common accessibility issues automatically

Open Review > Check Accessibility. Review Errors, Warnings, and Tips.

Limitations

The checker cannot determine whether alt text is meaningful, links are descriptive, charts are understandable, or color alone conveys meaning.

Perform a Manual Accessibility Review

Automated testing cannot identify every accessibility issue. Testing needs to happen with a keyboard and screen reader.

Reach out to our team on how to do this.

Things to look out for

Don’t use a font smaller than 12pt

Make sure there is sufficient color contrast

Don’t strictly use color to convey information

For longer documents provide a table of contents

Make sure to use the available style and formatting tools provided within the program.

References

Washington State University Digital Accessibility: Documents, Presentations, and PDFs

WSU Elson S.
